CANCELLATION POLICY FOR REGISTRATIONS
Cancellations must be confirmed in writing. If Momentum, the EFMD Conference Secretariat receives notice of your withdrawal before 20 September, 2011, a cancellation administrative fee of 75€ will be charged. Thereafter, we regret that we are unable to refund any fees. However, in such cases substitutes are welcome at no extra cost as long as EFMD receives notification of the name, title and address of the substitute.

  • Hotel accommodation request procedure
    The Conference Organiser has reserved rooms at preferential rates for the conference participants at the above mentioned hotel. Requests for accommodation are handled on a first-come, first-served basis. We strongly advise all participants to reserve their hotel room before 20 September 2011. After this date, hotel availability and rates are no longer guaranteed. Rooms are available between 23 November (earliest check-in) and 26 November 2011 (latest check-out). All other dates are upon request and subject to availability.
    To make a request for accommodation, please complete the registration and hotel booking form. Please note that requests by telephone or email are not accepted.

  • Payment
    Payments for all bookings are to be settled with the hotel directly upon departure. A valid credit card number must be given when making your booking request in order to guarantee and secure your reservation. The Conference Organiser cannot process nor confirm hotel bookings without a valid credit card. Please ensure that your credit card will still be valid at the time of the conference.

  • Confirmation of hotel booking
    If a hotel room is available at the selected hotel and for the requested dates, the final confirmation letter will be sent by email within 72 hours, with the name of the hotel, arrival/departure dates, and type of room. You will be informed accordingly if no rooms are available.
    If you have not received the final hotel confirmation email within 1 week, please contact the Conference Organiser at efmd@momentum-pco.be or at +32 16 40 45 55.

  • Cancellation notifications
    Cancellations of hotel bookings must be sent in writing no later than 14 November 2011 to the Conference Organiser, by email at efmd@momentum-pco.be or by fax at +32 16 40 35 51.
    Change of booking or reduction of stay.
    Any change of reservation or reduction of stay must be notified in writing to the Conference Organiser. Please do not contact the hotel directly in case of any booking changes. All changes are subject to hotels’ availability and the entire stay may be charged.

  • Cancellation conditions
    • For cancellations received before 14 November 2011: no charge will occur.
    • For cancellations received between 15 and 19 November 2011 ; one night will be charged on the credit card given.
    • For cancellations received as of 20 November 2011; the entire stay will be charged on the credit card given.
  • Late arrival
    If you will be arriving late (after 6 pm), please indicate this on your hotel booking form in order to secure your room.

  • No-show
    In case of no-show, the entire stay booked will be charged.

  • Early departure
    In case of early departure, the entire stay will be charged for checking out prior to the departure date confirmed.

  • Invoices
    Invoices will be issued by the hotels directly upon check-out.

  • Check-in time & Check-out time
    Reserved rooms are available to the customer at 3 PM on the agreed arrival date. Rooms must be vacated and made available to the hotel not later than 12 AM on the agreed departure date. Rooms which are not available for the hotel on the date of departure at 12 AM will be charged for an extra night.

  • Special requests
    Please note that special requests, such as early check-in are never guaranteed, but upon availability of the hotel.
