Entry visa for Russia & invitation letter

All foreign visitors to Russia must obtain an entry visa. Visas are provided using a personal invitation or a voucher. In order to receive your invitation/voucher, please send the following personal information to This email address is being protected from spambots. You need JavaScript enabled to view it. if you have booked a room at the Sokos Palace Bridge Hotel (if you have made other hotel arrangements, please contact your hotel) :

  • photocopy of the information pages of your passport (showing full name, birth date, place of birth, citizenship, passport number, date of issue, expiration date, state and city of residence)
  • current place of work / study name and address, current position
  • planned dates of entry and departure

In order to obtain a Russian entry visa, please contact a local Russian embassy or a consulate (find its location in your country here) for further information. Some embassies or consulates may have rules that differ slightly from those of others, so check with the consulate where you will be making your visa application.

Please be advised that in order to obtain a visa, your passport must be valid for at least 3 months after the proposed date of departure FROM Russia after the conference.

All foreign citizens arriving to Russia will have to complete a migration card given to them upon arrival in Russia. Please fill it in carefully and keep it safe until you leave the country, as it is quite complicated to deal with your departure without it.

Once you have registered, we will send you instructions on how to obtain an invitation letter to support your visa application.

4. Direction to reach GSOMTop

Pulkovo Airport is located in the south of St. Petersburg at about 20 kilometers from the city centre. To reach the Sokos Palace Bridge Hotel and the School, our conference venue, there are different possibilities:

By taxi:
A taxi from Pulkovo Airport (Terminal 1 or 2) to the School will take approximately 40-50 minutes. Please allow more time if you have to reach the airport during rush hour. The costs for the trip is approximately 800 Rubles (20 EUR). Please keep in mind that most taxis only accept cash payments.
We suggest you order your taxi after arrival at the Taxi stand inside the arrival hall or by phone. You may contact the following company:

By public transport:
From Pulkovo 2 a public bus 39 or private bus (“marshrutka”) K39 will take you to the metro station Moskovskaya (about 20 minutes travel time). From Pulkovo 1 you may take bus 13 or private buses K13 and K3, which will take you to the metro station Moskovskaya (K3 also goes further to metro station Sadovaya). Cost of the trip varies depending on type of bus and distance and falls in the range of 30-50 Rubles (0,75-1,25 EUR). Metro token is 28 rubles.
The closest metro station is Vasileostrovskaya, which is approximately 15 minutes walking distance of the School and Sokos Hotel.

Arriving to St. Petersburg by train: If you arrive in St. Petersburg to any train station you can take the metro (inside the train station). From Moskovsky Vokzal a taxi ride would cost approximately 400 Rubles (10 EUR) and take 15-20 minutes, from Ladozhskiy Vokzal – 500 Rubles and 40 minutes, from Finlyandskiy Vokzal – 400 Rubles and 20-30 minutes.

Fees cover attendance at the meeting, documentation, meals and refreshments, but NOT hotel accommodation. Indeed please note that EFMD is collecting only conference fees. Hotel fees are to be paid directly to the different hotels upon departure (please refer to the Hotel Information Section further down for more details).

Cancellation policy for fees:
Cancellations must be confirmed in writing.
If we receive notice of your withdrawal by 3 September 2013 a cancellation administrative fee of 75€ will be charged. After this date, we regret we are unable to refund any fees.
However, in such cases substitutes are welcome at no extra cost, as long as EFMD receives notification of the name, title and address of the substitute.
